Ensuring a healthy cycle of check scanning
Best practice for check scanner maintenance centers on regular cleaning keyed to usage volume, using the right tools, and following model-specific guidance. Neglect is the leading cause of preventable jams, misfeeds, poor image quality, and elevated MICR read failures.
Cleaning Schedule
Base frequency on document volume rather than calendar time alone:
- Every 5,000–8,000 scans is the most common industry recommendation (Digital Check, others).
- Light use (under ~50 checks/week): every 1–2 months.
- Moderate use (50–200/week): every 2–4 weeks.
- High/batch use (200+/week or teller windows): weekly or more often (every few days in heavy environments).
Dirty environments, freshly printed/inked checks, or dusty offices accelerate buildup—clean more often in those cases.
What Needs Cleaning
- Entry/feed/separator (discriminator) rollers — highest priority; most debris deposits in the first couple of inches of the track.
- Transport/drive rollers throughout the path.
- Image sensors / CIS / camera glass (front and rear).
- MICR read head area.
- Paper path/track (dust and particles).
- Exterior surfaces.
How to Clean (General Procedure)
Always consult your model’s manual first (Digital Check/TellerScan/SmartSource, Panini, RDM, Canon, Epson, etc. vary slightly) as the steps outlined do not apply to all devices.
- Power down and unplug if the manual requires it (many allow powered cleaning modes).
- Run the manufactures cleaning card multiple times (often 3–8+), flipping/rotating for fresh surfaces. Some devices have a dedicated “Clean” mode or button that automates scrubbing. Check with your manufacturer.
- Sensors and glass: Use manufacturer cleaning swabs or a lint-free cloth lightly dampened with isopropyl alcohol (typically 70%+). Wipe gently; avoid scratching. Ensure sensor doors/covers are fully closed afterward.
- Rollers and path: For accessible rollers, wipe while rotating them (cloth with water or mild detergent on some models; alcohol where approved). Use compressed air to blow the track from back to front. Cotton swabs help tight spots.
- Allow everything to dry fully before resuming scanning.
Avoid: Harsh solvents (benzene, paint thinner, ammonia-based cleaners on optics), spraying cleaner/water into the unit, paper towels (they shed fibers), or forcing rollers.
Additional Best Practices
- Keep a small stock of the correct cleaning cards, swabs, and wipes for your model. Store cards sealed until use.
- Monitor image quality and MICR failure rates as early warning signs.
- In multi-scanner environments, establish a simple log or schedule so cleaning isn’t skipped.
- Preventive cleaning is far cheaper than service calls or downtime—studies and vendor data show regular maintenance cuts errors roughly in half and extends usable life.
- Environment matters: Control dust/humidity where practical; handle checks carefully to minimize debris introduction.
- Consumables: Rollers and pads wear over time (tens of thousands of scans depending on model). Replace when cleaning no longer restores reliable feeding.
- For newer models, use any built-in cleaning modes, health indicators, or diagnostic utilities (e.g., ScanLite-style tools).
